Top 7 things you should consider when buying a business phone system

Upgrading your business phone system?  Moved to new premises?

Before you buy another expensive big grey box to put on your wall, here are my top 7 things that every business owner should consider when buying a business phone system……

1. Will it reduce your call costs?

By embracing new technologies such as Voice over IP (VoIP), a new phone system should enable you to dramatically cut line rental and call costs, making your business more profitable. Additional lines can be added for little or no cost to you and overall call charges can be significantly reduced.

2. Will it give you extra features?

A new phone system should always have a good range of features to help your business be more efficient. Ideally you should get more features that your old phone system had, so that return on investment is as high as possible. Many old types of telephone system dont have call queing, voicemail, or call recording, so its important to check that you will get all the features your business needs to operate effectively.

3. Will it give you flexible working?

Ever had that call from a member of staff saying they cant get into the office because of the bad weather/traffic/accident etc?  With flexible working, your phone system should allow staff to make and receive calls from home or a remote location, so they can still continue to operate – even if they are not physically in your office.

4. Is it expandable?

Does the system allow you to add more users and lines without purchasing extra add-ons?  So if your business grows, your phone system should also grow to accomodate the extra staff?

5. Is it upgradable?

Can the phone system be upgraded during it’s lifespan?  Perhaps adding additional features or hardware which makes your business more efficient?

6. Can it be integrated with your computer systems?

Integrating your phone system and computer system allows your business to become more efficient. For example, if you run a CRM system, it could pop up with the caller’s details before you answer the phone, so that you have all the information to hand.  Click to dial facilities allow you to dial a number by clicking it on your screen, and paperless faxing can enable you to send a fax directly from your desktop application without printing it first.

7. Will it help you generate more business for your company?

Probably the most important aspect of purchasing any new phone system is whether it will make your company more profitable!   There are several ways to do this: Firstly by utilising marketing on hold messages, you can tell customers about your products and services when they are on hold, potentially creating cross-sell opportunities. Secondly, by using call reporting and analytics you can make sure that calls are never lost, or if someone hangs up a call before getting answered you can call them back. Finally, by spreading the cost of your phone system by paying a subscription (opex) model, you can free up cashflow within your company too!

Before you move offices, dont forget to check one thing….

Before you move offices, dont forget to check one thing….

Time and time again I come across the same scenario…. a customer calls up to say “Im moving offices in a few weeks, can you sort out our internet?”

“Not a problem”, I say, “Lets see what kind of internet access is available at your new office” ……  and this is where we usually have to break some bad news to the client –  their new offices on that fancy new business park they are moving to has really poor internet connectivity and they are faced with a difficult choice.

Its not good news for the customer…

“I’m sorry to say that the broadband services at your new premises are very poor, you can only get standard ADSL broadband at 2Mb download speed. The only viable alternative is a dedicated leased line connection giving you 20-30Mb download speeds at a cost of £400 per month”

The customer isn’t happy, he’s just signed a 10 year lease on the property, and now he is forced to have an extremely slow and unusable broadband connection or have to pay a premium for a dedicated leased line.

If only they had approached us BEFORE signing the lease to the property!  We could have advised the customer what kind of internet access would be available to them if they moved to that area.  Perhaps a company with 5 staff requires fast internet access but cant justify the cost of a dedicated leased line, so the best solution for them would be to find premises which is served by a Fibre Optic Broadband connection.

So..  a little advice for business owners out there – before signing a lease and moving premises, check with your internet service provider first to make sure you can get the kind of internet speeds your business needs in order to operate efficiently!

If your internet service provider wont help, then contact us, or give us a call on 0161 711 1100 – We’ll even do a check for you for free!

SMEs enjoy improved communication, collaboration and productivity with Hosted Telephony.

In a world where flexible, fast and smart is a necessity for SMEs; businesses must ensure their tool bags are well equipped to handle such a way of working. A Hosted Telephony system is the perfect start.

Improve communication, collaboration and productivity

There are several benefits of SMEs switching from a traditional telephone system to the Cloud:

Flexibility & scalability

More and more, SMEs are expected to be flexible with their staff; the location of your office shouldn’t affect the talent you recruit. It’s widely appreciated that those commuting into London will often be granted working from home opportunities, so why shouldn’t the same privilege be extended to the whole country? Flexible working not only allows you to grow a team of passionate, loyal, hardworking individuals, but it also ensures your staff feel appreciated and are therefore motivated and driven.

A Hosted Telephony system, is a cost effective, low maintenance method of allowing staff to work smarter, faster and more productively from the office, home, remotely or even on the move.

Further to this, Hosted Telephony systems adapt to growing business strategies and industry changes. For instance, as your team grows, simply add and remove devices or virtual lines quick and hassle-free.

Cost saving

Hosted Telephony is ideal for SMEs looking for a feature-rich phone system without paying large upfront expenditure or excessive line rental and call charges. As well as no upfront capital expenditure Hosted Telephony means zero maintenance costs, lower charges for national and international charges and FREE calls to other VoIP users.

Costs are managed simply with a monthly subscription service, meaning cash flow management is made easy.

By switching from a Telephony service to the Cloud, SMEs can gain all the convenience of a traditional site-based PBX system and much more, without the associated costs and complexity.

Improved customer service

As a nation of customers indulged in incredible services such as Amazon same day delivery; it’s imperative that SMEs prioritise putting the customer first. With Hosted Telephony, SMEs are able to gauge a better understanding of how efficiently, effectively and productively staff are dealing with customers and target continual improvement with call logging and recording.

Many Hosted Telephony solutions are also able to track and analyse all phone traffic with advanced reporting capabilities so quality can be closely and continuously monitored, tweaked and improved.

Never miss a call again. Hosted Telephony allows calls to be re-routed to various extensions, or alternatively for remote workers, on their smartphones, meaning SMEs don’t end up missing out on potential sales.
